Pricing Groups

Pricing Groups are yet another way of categorizing your services and products.  You can create copies of your existing services in separate Pricing Groups so you can have a different set of prices for the same service.  You may use this if because of a client being in a different town or something, you charge more for their services.  Each client can be assigned to a different pricing group once they are enabled and so then only services that are defined in that pricing group will be available on any orders you enter for that client.

It is a good idea to first define all of your basic products and services in the Default pricing group (the one that will be there no matter what even if you don't use pricing groups).  That way, when you are entering a new order, you don't have to know which pricing group a customer is in first as it will use the Default pricing group until told otherwise.

Setting up Pricing Groups
On the Service/Product setup screen, you will see a small button at the upper right labeled "Pricing Groups".  You can click this button to view the Pricing Groups option on this screen.  There will be a a drop-down box that allows you to change the view of services and products to show only the ones in a certain pricing group, and a button on the right that you can click to view the screen that is the list of your different pricing groups for you to add new groups or remove existing ones. 

Again, it is recommended that you first setup all of the services and products you offer under the Default pricing group.  Then when you need to add some of those services to another pricing group and assign a new price to them, you can easily copy from that default group to another one you have created. 

To copy an entire service category from your default group to another pricing group, select to view the default pricing group, then right-click on the service category you want to copy and choose Copy Category to Group, then choose the pricing group you want to copy it to. 

To copy an individual service, right-click on the service description on the left and choose Copy Service to Group, then choose the pricing group you want to copy it to.  REMEMBER: When a client is assigned to a pricing group, whenever you enter an order for that client, the only services that will be available for you to add on their order will be ones that are defined in that pricing group.

Enabling/Disabling Pricing Groups

Once you define a pricing group and assign a service to it on the Services/Products setup screen as defined above, then you will be able to assign a pricing group to a client on their Contact Info screen at the bottom right of the Address/Phones tab, so really to enable pricing groups, it just takes setting at least one up as described above.

In order to disable the pricing group option, you must delete all pricing groups that you have setup on the Services/Products > Pricing Groups screen.  Then the drop-down box for setting a pricing group on the contact info screen will not be displayed.
