Activity Details Screen

 
Activity Details
This is the screen accessed either from the Schedule by right-clicking on a job block and choosing Edit, or from the Order Form Screen when the Order Status on the order is changed to Done (see the help for Completing Jobs), or when you right-click on the schedule date or time on the Order Form screen and choose Activity Details.  This is all the information about the activity that has been scheduled.
 
Type - This box indicates whether this is a Job, a Pickup, a Delivery, or an Estimate.  This is just for your uses and interpretation.  Most activities are Jobs and that is the default.  On the Schedule Options screen, you can choose to show only jobs of certain types on the schedule.
 
Status - The status for an activity differs from the Order Status.  It can only be one of four values: (1) To Do means that the activity has not yet been done and needs to be done (2) In Progress means the activity has been started but is not yet finished (3) Done means the activity has been completed (4) Cancelled means the activity was cancelled and will not be done.  On the Schedule Options screen, you can choose to show only jobs with certain statuses on the schedule.
 
Priority Level - You can mark this activity as higher priority with this field.  This is also just for your uses and interpretation, so you would probably add it to the hint layout on the schedule if you need to use it.
 
Date/Time
This tab is where the times for this activity are stored and can be edited. 
 
The Scheduled Start Date/Time is the time when the job is scheduled to start and is a date/time field. 
 
The Arrival Window is a number of hours from the start time that can be told to customers as a guaranteed arrival time. 
 
The Estimated Length is how long the job is estimated to take and is in hours:minutes format.  Be aware that this field should never be more than 24 hours as a job cannot be longer than that.
 
If the Auto Calculate Estimated Length box is checked, then the estimated time for the job will automatically be set according to the services that have been entered on the order (refer to the Num Units per Hour field in the Service/Product List setup screen - Misc/Setup > Services/Products). 
 
The Vehicle is the one that is scheduled to perform this activity (see help for Vehicle Setup). 
 
The Actual Start and Finish time fields are so you can mark when the job was actually started and finished. 
 
The Start Now and Finish Now buttons will set the actual start and actual finish fields respectively to the current system date/time.
 
Notes
On this tab you can enter a note about the activity which can be displayed in the schedule hint if you have it included in the hint layout, or also on the Schedule route sheet report.  This is for notes that you want the crew to see, but not necessarily the client, so you can put things here that you would not want to put in the comments on the order form.
 
Employees
On the Employees tab, you can choose the actual Technicians who did the job if it happens to be different than the ones that were scheduled to be on that vehicle.  Just double-click on the employee in the list of available employees on the left to move the employee to the list on the right indicating the employees assigned to this activity. 
 
Once you have the list of employees assigned to the activity correct on the right, you can click on the employee in the list and be sure he is set to the correct commission level in the drop-down box with that label.  You will see a figure representing the commissions he earned for this order.  When the correct employees have been assigned to the activity, then you may also need to go to the Date/Time tab of this Activity Details screen and at the bottom set the Actual Start and Actual Finish date and time for the job.
