Emailing a Thank You Letter

Setting up an Email Thank You Letter

Only in Camelot 3.2 and up
 - call our sales department about upgrading if you are on an older version.

1. from the Misc/Setup pull-down menu at the top, choose Marketing Funnels

2. click the Add New Piece button at the bottom left and choose Email

3. Name your email piece, like "My Email Thank You Letter", and click Next

4. Choose the option to let it create a new correspondence definition for you (the 2nd checkbox there) and it will be named the same as your piece here by default, and click Next

5. now on the right, under step 1 there, in the criteria drop-down box, choose the "Had order/job last week" option

6. now on the right under step 2 there, click the Email Options button, and choose the first choice "Customize Email - as text only".  This will open a screen where you can type the email subject and body.  Use the Insert Merge Field button to insert a merge field from the database into the email body (e.g. Title-BillingContact, LastName-BillingContact, etc).

7. once you have the email typed like you want, click OK, and you are done setting up this email marketing piece.

8. Please note that also under the Email Options button menu there, you have a choice for "Email Server Setup" which is where you can define and test your outgoing SMTP mail server settings.  For more information on setting up the program to send emails, click here.

Now to send these emails, you would on a daily basis go to Calls and Mailouts from the main menu navigator screen, and go to the Mailouts tab, and click Refunnel at the bottom there.  It will then show you how many emails you have to send if any (as well as whatever other funnel entries you've setup).  So to send the emails, just click Create Now, and they will appear, and the click Send Now.
