How do I customize a Mail Merge Report?

As with customizing any report, we recommend that you make a copy of one of the existing letters by selecting the report/letter in the Mail Merge Reports folder that you want to use, and click the Copy button at the bottom of the Reports screen, and enter a new name for your report.
 
To customize it, click the Layout/Design button at the bottom of the Reports screen.  This brings you into the ReportBuilder program.  Most letters have a header, a body, and a footer.  You will normally only have to make changes to the body of the letter.
 
To make changes to the body of a letter, right-click anywhere on that section of the screen where the body of the letter is and choose the Edit option.  Then you will be in the Rich Text Editor screen.  It works much like any word processing program.  You can type whatever text and change fonts and alignment or whatever.  The unique thing here is the ability to insert your mail merge fields.  Most of the letters included will already have fields in them you can use.
 
To insert different merge fields, put the cursor where you want the field in the document, and from the Edit pull-down menu at the top, choose the Insert Field option.  You will then see a list of the available fields in alphabetical order, and so you are to find the field you want and double-click on it. 
 
Once you have made all the changes you need to make, simply click the X at the upper right corner of the Rich Text Editor window to close it and say Yes you want to save your changes.
 
Once you have made all the changes to the letter you want to make, then click the X at the upper right corner of the ReportBuilder window and say Yes you want to save your changes.
