From the Misc/Setup pull-down menu, choose Cities/Postal Codes.
This is the internal list of Cities and Zip/Postal Codes that is used for automatic lookup in Camelot.
Each zip/postal code and city name have the following fields associated with them:
State/Prov - This is the State or Province for this Postal Code & City
Sales Tax Rate (Tax 1 Rate) - This is the Sales Tax Rate that is to be applied for this City/Postal Code. When any of the tax fields here are left blank, then when entering an order for that postal code, the values you have entered on the Company Setup screen > Taxes tab will be used as the tax rates. See the help for Tax Calculation Troubleshooting for more information on the way taxes are calculated.
Tax 2 and 3 Rates - These are other tax rates that can be applied for this City/Postal code. It is usually used for things like the GST in Canada or some special kind of local tax.
Zone/Map Code - This is the default Zone or Map Code to be applied when an address for this postal code is entered. You can always change this from address to address; this is just the default one for the postal code. This value is used when trying to auto schedule orders by finding a crew that is already scheduled for work in a particular zone/map code.
Country - This is the Country for this Postal Code and City
Remember that for the US, the length of the postal code will be 5 characters, while the length for Canada will be 3. Refer to the Regional tab of the Company Setup screen for this setting.
If you notice, each zip code can have its own tax rate associated with it, as well as a zone name, which is a geographic aide when scheduling and routing your jobs. When processing an order you should ask for the zip code before the city name, simply because it is unique and the city name may not be (e.g. Several different zip codes for the city of “Nashville”). Plus it is usually less characters that you have to type, so it is faster.
The city name will automatically fill in once a zip code that is in the list has been entered. If the zip code is not already in your list, then the program will actually try to find the matching city from the U.S. Post office database automatically, and then it will add it to your local database. If the postal code is still not found, then you will be prompted to enter the city information. The zip code must be unique.
