The Profile tab contains more fields you can set to better classify your client records.
Contact Status: This is just another way for you to classify a client as being one you really want to cater to (VIP), or one you want to avoid (ALERT!), or values in between. Each status has a different color associated with it and you will see the top part of this screen change according to the status you choose.
Last Contact Date: This date marks the last contact you had with this client, whether it was a phone call or mailout. This is sometimes useful when you don't have an order history for a client to refer to, but you still want to know when you last sent them a letter or spoke on the phone. It is also often used when you are entering past client records that you do not have order history to enter for. In that case, it is sometimes used as the last order date. Normally you can ignore this field since the program will usually automatically set it for you.
Contact Source: This is the original contact source, that is what made this client contact your business. This source is the one to set as the reason you got this client. Also, each order you enter for the client can have a different source that would be why they placed that particular order.
Exempt From Taxes: Check any of the tax boxes that this client is exempt from. Usually this would only apply to churches or non-profit organizations. For more information on tax calculation, click here.
Client, Vendor, Agent, Adjustor: Check the boxes that apply to this contact entry. Are they client, that is, do you perform services for them? Are they one of your vendors? Are they an insurance Agent? Are they an insurance Adjustor?
Default Payment Terms: This is the default payment terms for orders entered for this client. If they will have the same payment terms by default as everyone else, then just leave this box blank.
Key Note: This is a quick note about this customer that will pop up when you choose this customer from your list to quickly give you an idea of who they are. Generally, if you have had trouble with this customer, you would want to indicate that here.
