From the Misc/Setup pull-down menu option, choose Custom Fields.
This is an advanced feature that is not essential to beginning to operate your software, but which can very dramatically help your business if used, perhaps more so than any other single feature, particularly if used in conjunction with Marketing Funnels. This program allows you to track as many different pieces of demographic information about your clients or prospects as you wish, and then use that information to create sales messages that speak directly to smaller “special interest” groups of your overall client base and/or prospect list. Again, studies in sales and marketing have proven that the more points of interest of a person that you can include in a sales offer, the more likely you will be to get that per-son to buy your products or services.
To add a custom field, click the Add New Field button from the Custom Fields screen, which can be gotten to from the Misc/ Setup pulldown menu.
IMPORTANT: If you are running a network version. only one person can have the program open while adding Custom fields, so sometimes you may need to get everyone to close out, including you, and then only you reopen the program.
On the Edit Custom Field screen, you will have the following fields that must be filled in:
Field Name: This is the name of the field as it will be referenced in report and funnel criteria and is just a name for the field. It must be alphanumeric text (letters and numbers only).
Field Type: You can choose from Text, Boolean (Yes/No checkbox field), Date or Time, Long Integer (or whole number), Double (decimal number), or Memo (lengthy text).
Field Length: This is only applicable for fields of type Text, and must be a value between 1 and 256.
Description: The description for this field that you will see on the Profile tab of the Contact Information screen
Indexes
On this tab you can select if you want the field you are adding to be indexed or not, and if the index puts the higher values first or not. Normally just leave the boxes blank.
Values
On this tab, if the Field Type is Text, then you can enter a list of possible choices for the field and whether or not your users must choose from one of these values when entering data into this field (Limit to List). This is only applicable for text fields. You can also enter a default value for the field, which means that when you add a new record to the database, it will set this field to this value unless you enter something different.
Format
On this tab you can set the display format for the data shown in the field. See the help for Data Display Formats for more information.
Each Field Label/Description that you enter on the Edit Custom Fields screen can require a different data type or field type. It can be Text, a Number, a Date, a Time, or a Yes/No field (Boolean).
EXAMPLE 1: If you wanted to set up a field for a pet's name, you might make the Field/Label Description be “Pet's Name”. Since this can be any name, you would set the field type be “Text”.
EXAMPLE 2: Or if you wanted to set a field that was Date Home Purchased, then you would want the field type to be “Date”.
EXAMPLE 3: Many demographics can be indicated with a yes or no answer. Let's say you want to know if a client owns a dog. You might make the Description “Owns a Dog?” and set the field type to be “Boolean”.
