You have the ability to automatically schedule orders for the future using the Recurring Schedule. Once you have entered an order for a customer, you can make that order have a recurring schedule associated with it, which means that the order will be copied multiple times onto your future schedule at a specified interval.
To set the recurring schedule for an order, first open the order as if you are editing it. Then right-click and choose Recurring Schedule. The Recurring Schedule screen allows you to choose different parameters to set the job dates for the future orders.
Notice as you choose different options at the top, then in the box at the bottom left you will see a list of the dates on which jobs would be scheduled according to those options. Sometimes you will need to try different settings here to get the results that you want, but realize the resulting dates will always be displayed in that box at the bottom left.
In the Day(s) of Week, you can select which days of the week are allowable for doing the job, then in the Occurrence box, you choose which occurrence of those selected weekdays are allowable, then in the Month(s) of Year, you choose which Months are allowable. This gives you many options.
EXAMPLE: Let’s say you want someone’s job to be on the second Monday of every month. To achieve this, check the Monday box under Day(s) of Week, then the 2nd in Month box under Occurrence, then check all of the months under Month(s) of Year. Let’s say you wanted to do this same scenario, but just every other month. You would just only check every other month under Month(s) of Year.
You would set the Keep ahead weeks to something other than 0 if you only wanted there to be just a certain amount of jobs actually entered on the schedule. As you complete one job, it would automatically create the next appropriate job on the schedule. Normally, you will just leave this set to 0, but in cases where you are doing some job every other day, you may want to limit it to just 20 weeks or so, just to keep your schedule and list of orders from getting unnecessarily large.
The Separate by at least a number of days box allows you to perform the situations where you want to do some job, for instance, every 30 days, regardless of the day of the week. To do this, just check each day of the week, then enter 30 in this box.
The Termination Date allows you to enter a date after which you want no more jobs scheduled based on this recurring schedule - more or less the termination date of their contract.
Removing a Recurring Schedule
You will notice that if this is a job that you have previously set a recurring schedule for, then the box at the bottom right will show you the list of the jobs that have already been set in the recurring schedule. The Remove Recurring schedule button at the bottom left corner will delete any of those jobs that are scheduled in the future, as well as any indication that this order is to be a recurring schedule. To just delete the orders that are scheduled in the future for this recurring schedule so you can reset the recurring schedule, just right-click on the list at the bottom right and choose Remove these recurring jobs.
