Other Camelot Software Feature Highlights:
Before version 3.0, the database platform for Camelot was MS Access.
While it had its strong points, Access also had its limitations. Because of this,
and the fact that many of our clients were pushing the limits of Access, we migrated
to a true client/server database architecture for version 3.0 and on.
So what that means is:
- NO MORE DAO ERRORS! One of the limitations of Access is that it is not a true
transaction based database. So when one user accesses a record, especially if that
record contains memo or blob fields, it would not actually just be that record that
gets locked, but possibly a group of records. This would create conflicts when
those close records were modified by users, and thus sometimes, a DAO Error would
occur which caused some data in memo fields to be lost. The NEW database platform
is a truly transaction based record locking architecture, which provides many stability advantages.
- Licensing is now based on CONCURRENT users. So that means if you have 5 computers
in your office, but you only really have 3 people using the software, then you only
need 3 user licenses. Though this was technically the case with prior versions of the
software, you still needed authorization on all 5 computers, so it created registration
problems if you did not purchase all 5 licenses. That's no longer an issue with this
new release since the server maintains the logged in users and registration information.
- There's no practical limit on the number of users that can be logged into your
database. In Access, once you got more than 10 or so users, the system would often become
bogged down and have more DAO errors. 100 users is not a problem at all with the new version.
- There's no practical database file size limit. While no one was ever really pushing
the actual limits of an Access MDB file size before, it was still a problem for that platform
when the db file size grew to over 250 megabytes. Again, that is no problem at all on the new platform.
- Compact/Repair is no longer necessary. There is a utility called "sweep" that does a
similar operation in the new platform, but you do not have to close all users out to perform
the sweep, and it is much faster than the compact/repair was in Access.
- Automatically pulls up your client's info before you even pick up the phone!
- Choice of actions when your phone rings: open the customer's record with
full history, open a new quote/order screen for the customer, etc.
- Can work with any phone system with purchase of “Whozz Calling”
device from callerid.com.
Previously the only option for emailing invoices directly from Camelot was a text representation
of the invoice information, and if you wanted to email a PDF, you had to print the invoice to a
PDF yourself, and then manually attach that to an email and send it using your normal email program.
Now in Version 3.3, there is simply a right-click option for emailing the invoice directly from
Camelot as an attached PDF, so your invoice will look to the client exactly like it looks when you
print it out yourself and give it to them.
A free PDFCreator program is needed to use this feature, and Camelot will direct you to the download
site for that program when you first use the feature, or you can download it from
http://sourceforge.net/projects/pdfcreator/.
Also, now you can email using an smtp mail server if it requires SSL.
Previously, if your SMTP email server required an SSL connection (as Gmail does), you couldn't email
using that server directly from Camelot. But now in version 3.3, you can use an SMTP server that
requires an SSL connection. There is simply a checkbox on the email tab of the company setup screen
that allows you to choose the SSL option and type (the type is usually TLS).
Easier Custom Reports: report fields and parameters have been reorganized for clarity and increased reporting options
Vital Stats: automatically gives you up-to-the-minute data in key areas right on Camelot's main screen
(you can easily hide this Vital Stats data from select users as desired).
The Vital Stats on the main menu have been updated. Not only are there more fields to choose from,
it is also now very easy to choose only the fields you want to see, with clear explanations of what
the fields mean.
Just right-click on the vital stats area of the main menu navigator screen, and you will see the option
"Choose fields to show", which will bring you to this screen:
Simply double-click on the possible field you want in the list on the left to move it to the selected
fields list on the right, or use the single arrow buttons between the lists to move from one
list to the other, or the double arrows to move all fields. As with any double list screen,
you can click and drag within the Selected Fields list to put them in the order you want to see them.
In addition, right from your main menu navigator screen, you can click on a vital stat value, and it
will open a report that shows you a list of the orders that value is based on, so you can quickly see
the details.
Because of the choices now available to you here, you can now with one click get daily, month to date,
week to date, and year to date reports on your most commonly needed data without having to access the
report's criteria screen at all - ONE CLICK REPORTS!
This new marketing setup screen is designed to make it extremely easy to setup your customized marketing campaign.
It is accessible from the Misc/Setup > Marketing Funnels pull-down menu option, or by a new
Marketing Funnel Setup button on the Calls and Mailouts screen.
This new screen will basically walk you through adding new marketing pieces, whether they
be letters, postcards, emails, or phone calls.
Just click the
Add New Piece button, and follow the on-screen directions.
As you can see from the screen shot above, once the new piece is added, option
#1 on the right allows you to easily choose common criteria for who you want to send this piece to
from a drop-down list, or you can customize your criteria by starting with one of the choices,
and then clicking the
customize your criteria button, which will pull-up
the normal criteria screen.
Then, under option
#2 you can choose the
particular letter or email template from the list, or you can also click the
Options button there, and choose to Customize the selected template, or there is a new
Browse Templates screen (shown below) that allows you to see a list of all the mail merge report templates along with
a preview of what it looks like.
When the marketing piece is an
email, the Options button allows you to
customize that email as text only, or you can edit the email as HTML using the HTML editor of
your choice. There are also sample HTML emails included that you can start out with.
Remember once your funnel is setup, all you have to do to execute it at whatever frequency you
desire is go to Calls and Mailouts from the main menu navigator screen, and on the
Mailouts tab, click the
Refunnel button.
Also new is an
A/B split option (screen-shot below). From the Calls and Mailouts
screen, once you have a mailout set to be sent to a group of clients, you can right-click on that
mailout, and choose the Split these recipients in A/B group option, and then choose an alternate
mailout from your list, and the program will automatically divide that group of recipients and
mark to send half of them the alternate mailout.
These new options will make it easier than ever to stay in touch with your valuable clients and
maintain your repeat business.

- Now view your receivables based on any date in time you wish, past, present, or future.
- Set a “Closing Date” that locks any invoices on or before that date, so they can no longer
be altered by anyone who does not have the master Administrator password
